Government Records Management Policies

Owning a business means that you have to follow a lot of rules and laws.  You need to get things right so that you don’t get in trouble.  If things don’t go well, you could get in trouble from the government, or even get sued from other entities.

This is why it is so important to follow the rules, regulations and policies.  Many companies hire in house lawyers to keep up with all of these rules.  Some aspects often get forgotten.  One of the more important parts of running a business that is often forgotten is records management.  This is all about keeping good records so that you don’t get yourself or your business in trouble.

Records management can get a bit complicated.  First, you need to learn what a record is.  Records are all of the paperwork that you create while you are running a business.  If you sell a product, you need to keep paperwork about the different specifications of that product.  You should also keep records of the customers who purchase goods from you, which would be receipts in this case.  This is also the case if you sell a service as well.  In this case, the receipts and customer paperwork would be a lot more detailed and fleshed out.  You would also have records for your employees.  This would include their application as well as all of the paperwork that you had them sign when they first started working for you.  In addition, if there are any disciplinary actions to that employee, this should be stored in the records database as well.

Records management is important because it keeps all of those records in an easy to find area.  One important aspect that records management policies enforce is that you make all of the records easy to find.  If you need something, you should be able to find it relatively quickly.  If not, you are violating these policies.  You also need to keep every piece of paperwork that you ever generate.  In order to follow this, you will need some way of backing up what you have.  If you have paper archives, then you would need duplicates in another location just in case of a fire or other disaster.  If you keep your records electronically, then you need to make sure that you have a powerful backup system to prevent the loss of this information.

If you don’t keep good records, it can really hurt your business later on.  This is especially the case if you happen to be sued for something.  Whether a customer is suing your or a former employee, you need to make sure that you can fight back with the proper evidence.  If you did a good job keeping your records, you can show that you were right with these.  Then again, if you lost the records, you won’t be able to defend yourself or your business in court.  In the end, this can do a lot of damage to your company.  Not only that, but you can get in trouble from the government as well for not following their records management policies.

You can see now how important records management is to your business.  If you are planning on starting a new company, don’t forget to integrate good records management practices.  You will definitely be doing a good thing for your business.  You will prevent yourself from getting in trouble if sued or from the law, and you will also make sure that you have whatever you need of your old paperwork.  While it may be time consuming and feel like a waste of time, it is still important.
