What is Records Management?

If you are into business, you have likely heard the term ‘records management’ thrown around.  While you may have heard of it, it is likely that you don’t know what it is.  This is because, while it is standard business practice, most

people don’t talk about it.  the subject can be a boring one.  Although this may be the case, it is still a very important and necessary part of running a business.  if you are planning on starting up your own company, be sure and learn as much as you can about records management.  This way, you will be prepared just in case something should happens.

Before we talk about the management of records, you first need to know what records actually are.  Throughout a typical business day, you will likely generate all sorts of paperwork.  This paperwork is considered records that you need to save.  Some of it has to do with your business, and some with your customers.  For example, if you purchase a new desk for your office, you will need to keep this business recent in your files.  You will also need to keep the paperwork if anyone purchases anything from you.  If you sell tennis shoes, you should keep not only the receipt from every transaction, but the paperwork involved in making and distributing that product.

Records also have to do with your employees or personnel.  There is all sorts of paperwork that is generated and filled out for each one of your employees.  You need to keep all of this.  For example, you will have them fill out some forms when they first start out working for you.  These are customary and part of the legal aspects of hiring people.  Keep this in order to keep your business safe.  You will also want to keep any records of the time that the employee works and the time that they take off.  This will help you know what to pay them, and it will also help if there are any disputes about this in the future.

Some types of records only apply to certain kinds of businesses.  For example, clinics and hospitals need to think about health records management.  This includes patient files, which are very important to everyday business in a clinic or hospital.  Service companies, such as contractors, also have different records to keep.  They need all of the estimates that they give customers on file just in case there is a lawsuit.

Records management is the act of keeping all of these records.  It is your responsibility to make sure that the records are kept safe.  They also need to be easy to find.  This is very important because a poorly managed records system may mean that it will take hours or days to find one document.  This is just unacceptable when it comes to running your business.  In order to ensure that everything is running smoothly, you need to employ the proper records management system, whether it is contract or health records management that you need to worry about.

It can be hard to take care of managing your company’s records all by yourself.  Depending on how big your business is, it may even be impractical to hire someone for this job.  If this is the case for you, there are companies out there that specialize in records management.  They can help keep track of all of the paperwork that is making its way through your offices.  While this does cost extra money, many businesses find that it is worth the price.  Keep this in mind when you are planning your records system.
